What is offline conversion tracking?

Offline conversion tracking is the process of sending sales outcomes that happen outside your website — closed deals, signed contracts, phone-call sales — back to ad platforms like Google Ads and Meta. Each ad click is stored with a click ID (GCLID for Google, fbclid for Meta) alongside the lead in a CRM; when the lead later becomes a customer, that outcome is uploaded via the platform’s API so the bidding algorithm optimizes for buyers instead of form fills.

Every setup — DIY or tool-based — follows the same four-step loop.

  1. Step 1

    Capture the click identifier with every lead

    Store the GCLID (Google), fbclid (Meta), or the lead’s email and phone number on the lead record the moment a form is submitted, so the conversion can later be matched to the originating ad click.

  2. Step 2

    Track the lead through your sales process

    Keep the lead’s status up to date in your CRM — new, qualified, won. The CRM stage change is the trigger that turns a lead into a conversion worth reporting.

  3. Step 3

    Send the outcome back to the ad platform

The classic alternative imports conversions by GCLID, and developers can upload through the Google Ads API. Conversions can be imported up to 90 days after the click and are attributed to the click date.

Meta (Facebook & Instagram)

Since Meta discontinued the legacy Offline Conversions API on May 14, 2025, offline events go through the Conversions API: server-side events carrying a value, a currency, and hashed identifiers (email, phone, fbclid). Meta accepts offline events up to 62 days after the conversion; fresher uploads match better. Match rate is reported as Event Match Quality in Events Manager.
